The Complete VBS Volunteer Recruitment Script Library (Free Download)
You know exactly who would be perfect to lead crafts at VBS. You’ve mentally rehearsed the conversation a dozen times. But when you see her after church, you freeze: “Hey, um, would you maybe want to help with VBS?” She looks uncomfortable. “I’ll have to check my schedule,” she says—and you both know that means no.
Sound familiar? You’re not alone. Research shows that 61% of churches don’t run VBS because they can’t recruit enough volunteers. But here’s the good news: the problem isn’t that people don’t want to help. The problem is how we’re asking.
Generic requests like “Can you help with VBS?” trigger panic. People picture the hardest, most time-consuming role possible and say no to protect themselves from overwhelm. But when you ask with a specific, time-bound script that clearly explains the role and commitment, your yes-rate skyrockets.
That’s why we created the VBS Volunteer Recruitment Script Library—15 proven scripts you can copy, paste, and customize. Below you’ll find a few examples, plus a link to download the full PDF library free from VBSKids.com.
How to Use These Scripts
Each script follows a proven structure:
- Personal greeting (use their name)
- Specific compliment or connection (why you thought of them)
- Exact role description (not just “help with VBS”)
- Clear time commitment (hours, not “all week”)
- Easy next step (pray about it, not decide immediately)
You can adapt these scripts for:
- Phone calls
- Text messages
- Emails
- In-person conversations
The key: be clear, specific, and encouraging.
Sample Recruitment Scripts
Here are 5 of the 15 full scripts. Use these now, then grab the free PDF for the complete set.
Script 1: Parent of a VBS-Age Child
Channel: Text or in-person
“Hi Sarah! I know you’re already bringing Emma to VBS, and I thought you might enjoy being there with her. Would you consider leading a small group of 5–6 kids (including Emma) June 16–20, 9am–12pm? You’d guide them through rotations—no prep required. Would you be open to praying about it this week?”
✅ Why it works: connects to an existing commitment, no prep, benefits their own child.
Script 2: Craft Leader
Channel: Text or in-person
“Hi Jessica! Your Instagram crafts are amazing. Would you consider being our craft leader for June 16–20? Each morning you’d lead one craft station (about 45 minutes, repeated 3 times). Supplies and instructions provided—you’d just guide the kids. About 2–3 hours per day. Interested?”
✅ Why it works: compliments their creativity, time is clear, materials provided.
Script 3: Retiree Small Group Leader
Channel: Phone call
“Mr. Johnson, I immediately thought of you for VBS. We need leaders for groups of 5–6 kids, and I know you have such a patient, grandfatherly way. It’s June 16–20, mornings only. I’d pair you with a younger co-leader to handle the running around. Would you pray about it this week?”
✅ Why it works: honors experience, reduces energy concerns, appeals to legacy.
Script 4: Registration/Check-In Coordinator
Channel: Email
Subject: A VBS Role That Fits You Perfectly
“Hi Karen, would you consider coordinating registration and daily check-in for VBS? You’d help with forms, staff the check-in table (8:30–9:15am), and manage name tags/allergy info. No teaching or crafts—just organization. I thought of you because you love checklists and details!”
✅ Why it works: matches skill to role, no kid interaction required, behind-the-scenes.
Script 5: Teen Volunteer
Channel: Text or DM
“Hey Jordan! Would you like to help at VBS June 16–20, 9am–12pm? You’d assist group leaders, play games with kids, and earn 15 service hours. Plus, the kids will think you’re the coolest person ever. Interested?”
✅ Why it works: casual tone, service hours, “cool factor.”
